Health and safety on the app

Do a site risk assessment on your phone, read and sign off safety documents, and record spraying on your jobs.

Health and safety is under More, then Health & safety. It has three tabs: Assessments for site risk assessments, Safety for RAMS and COSHH sheets, and Compliance for the business's insurance and certificates.

It's where you check the risks at a site, read the documents the office needs you to read, and sign them off.

Site risk assessments

A risk assessment records the hazards at a client's property. Open any assessment to see each check, how risky it is, any notes, and the Key H&S notes that sum up the biggest risks. It's worth reading before your first visit to a site.

Use the search at the top to find a client's assessment.

Doing an assessment

Tap New on the Assessments tab. Choose a Template, then the Client and Site, or leave the site as Client-wide if it covers all their sites. If the client isn't in Fieldfare yet, leave it as No client attached and give it an Assessment title.

For each check, choose Acceptable or Attention needed, set the Risk to Low, Medium or High, and add Notes about what you found. Sum up the biggest risks in Key H&S notes and save it.

Assessments save without signal and show as Queued until they're sent. Once saved, only the office can change one, on the web.

Safety documents and sign-offs

The Safety tab lists RAMS, COSHH sheets and other safety documents, with their category and status. Sign-off needed shows on the ones the office needs you to read, and Review due on ones due for a check.

Open a document to read it, including any Attachments. Tick I confirm I have read and understood this document to sign it off, and the date is recorded. If the office recorded it for you, it says it was signed off on your behalf.

  • You need signal to sign off. Without it, the app asks you to connect first.
  • You can't undo a sign-off. If the document changes, the office may ask you to sign again.
  • Draft documents show with a Draft label and never ask for sign-off.

Compliance documents

The Compliance tab holds the business's own paperwork: insurance, accreditations and certificates, with their review dates. Open one to show a client or site manager the certificate. Sometimes the office asks you to sign these off too.

Spray records

Spraying is recorded on the job, so each record is tied to the client, the site and the day. Tap a spraying work, or Show beside Spraying, and tap what you sprayed. Add a note first if you need to.

It's saved straight away, even without signal, and you can still add it after Finish job if you forgot. The office keeps every record as the business's pesticide log.

Vehicles

If your business gives your role access, Vehicles appears under More. It lists each van with its MOT, tax and insurance dates, so you can check a van is road legal before you take it out.

Questions

Why can't I sign off a document?

You need signal, and the document must be active and marked for sign-off. If you've already signed it, it shows the date instead.

Where are a site's key risks?

The key risks are under Health & safety in Before you go on each of that client's jobs. For every check, open the site's risk assessment under Assessments.

Can I change an assessment after saving it?

Not on the app. Tell the office what needs changing and they'll update it on the web.

A client wants to see our insurance. Where is it?

Under Compliance. Open the insurance document and show them the attached certificate.
