The gallery is every photo and video your business has taken, in one place. Most come from staff on the phone app as they work, so you can see the job was done, show a client the before and after, or check a site before you go.
Where photos come from
When staff add photos to a job in the app, or anyone adds them on a job on the web, they're filed under that job, its site and its client. They show on the job and in Gallery. On a job, View all opens the gallery showing just that job's photos.
Photos added on a client's Images tab are filed under that client. Photos added from Gallery itself go in as general photos unless you add details.
How photos are filed
Each photo is For one thing: a Job, Site, Client, your Organisation or General. Its Photo type is General, Before or After, and organisation photos can also be Branding. You can add a Caption.
Anyone who can edit a photo can change its details later with the pencil, for example to move a general photo onto the right job.
Adding and publishing
Add photos opens your files straight away. Photos and videos upload in the background and wait as thumbnails at the top of the page. Publish adds them where the page says, Add details lets you choose first, and Discard throws them away.
Photos you don't publish are thrown away when you leave the page. iPhone HEIC photos are turned into JPEGs as they upload.
Finding photos
The newest photos show first. Filter images lets you search, choose a Category, Client, Site, Job or who it was Uploaded by, set dates with From and To, and change the Sort. The gallery shows up to 60 photos at a time, so use the filters to find older ones.
Select a photo to see when it was taken, who added it and where it's filed, and to Download a copy.
Who can do what
- Owners and admins can see, edit and delete any photo.
- Staff can edit and delete only the photos they added.
- If a role's Gallery permission is Assigned jobs and sites, they see and add photos only for the jobs and sites they've been on, plus their own.
- Deleting is for good. There's no bin to restore from.
File sizes and storage
Photos can be up to 15 MB and videos up to 150 MB. The space you've used shows under the Gallery title.
Your subscription includes 50 GB. Going over never stops uploads. Another 50 GB is added for £5 a month, and taken off again when you drop back under. Only photos and videos count towards it.
Key workflows
Add photos to a job or site
Gallery › Add photos
- Select Add photos and choose your files.
- When they've uploaded, select Add details.
- Choose what they're For, the Photo type and the job, site or client.
- Publish them.
Find a photo
Gallery › Filter images
- Select Filter images.
- Choose a client, site, job, person or dates.
- Select Apply filters. Clear filters shows everything again.
Delete a photo
Gallery › photo
- Select the photo.
- Select Delete photo.
- Select Yes, delete for good.
Questions
Can clients see the gallery?
No. The gallery is only for people in your business. To share photos, download them, or include them in a job's Visit report.
Can I download lots of photos at once?
Not at the moment. Photos download one at a time from each photo's Download button.
What happens if we go over 50 GB?
Uploads carry on as normal. Extra storage is added in 50 GB blocks at £5 a month each, and removed when you drop back under.
Can staff delete each other's photos?
No. Staff can only delete photos they added. Owners and admins can delete any photo.
