Run your week

A day on the app for your staff

See what your staff do on the app through the day, and choose whether they finish jobs themselves or jobs complete automatically.

1:40 video

Your staff run their day from the Fieldfare app, and everything they record comes straight back to the office.

Clocking in and out records their working day, and that's where their hours come from. Starting and finishing a job is separate, and records their time on that job.

What staff see

Staff open the app to their Schedule: their own jobs for the day, in order, with the time and address. The Map tab shows the day's jobs as pins and can open their route in a maps app. They also have Timesheets, To-dos, Gallery and More.

By default staff only see the jobs they're on. They never see prices, and only see client phone numbers and emails if you allow Client phone & email in role permissions. Owners and admins on the app see everyone's work.

A job on the phone

Tapping a job shows when it is, the staff going, the site and the client, plus any description and checklist. Navigate opens the address in their maps app, and Previous visits lists earlier visits to the client.

Before you go gathers what they need on arrival: notes left From the last visit, the parking, access and green waste notes for the site and client, and any gate code.

Starting and finishing

With jobs finished by staff, they tap Start job on arrival, which starts their time on that job. They tick off the works as they go and use Add photo for General, Before and After photos. Picking a spraying work opens a spray record, which can still be added after the job is finished.

Finish job opens a short sheet to check the works and add an optional note. If they can't finish, Mark incomplete asks what couldn't be done and why, and the job goes to Needs attention in Jobs so you can rebook it.

When several staff are on a job, each one starts and finishes their own time on it.

Notes for the office and the next visit

Staff can add a note to a job at any time with Add note, or when they finish. Two ticks decide where the note goes.

  • Office follow-up needed: the note comes to your Notifications as a job follow-up. You can turn it into a to-do with Create to-do, or select Mark as dealt with and say how.
  • Show on next visit: the note appears in Before you go on the next job at that site, for whoever goes.
  • Neither ticked: the note stays on the job for the office to read.

Who marks jobs complete

Mark jobs complete in Settings › App customisation › Jobs decides how jobs get finished.

  • By staff: staff start and finish each job, so you get their time on every job. A job nobody finished shows as Overdue in Needs attention.
  • Automatically: a job counts as complete once its end time passes, and jobs without a set time complete at the hour in Jobs without a set time complete at (20:00 unless you change it). Staff only tap Mark incomplete for work that didn't happen, so there's no time on each job, only their clocked hours.
  • Switching to Automatically only affects jobs from then on. Earlier jobs keep working as they did.

No signal

The app keeps each day's schedule and the jobs staff have opened, so they can carry on without signal. Starting and finishing jobs, ticks, notes, photos and clocking in and out are saved on the phone, and a banner shows how many changes are waiting. They send by themselves once the phone is back online.

There are limits. A job never opened while online may not be there, and the full Jobs list and the gallery aren't kept offline. If a change can't be sent, for example because the office changed the job meanwhile, the banner says so and offers Retry sync or to discard it.

What comes back to the office

Clocked hours land on Timesheets, with time on jobs beside them. Ticked works, notes, photos and spray records appear on the job, so you can see what was done without a phone call. Follow-ups arrive in Notifications and incomplete jobs in Needs attention.

From a finished job's ⋯ menu, Visit report turns the visit into a report for the client.

Questions

Can staff see prices or what we charge?

No. The app never shows prices. Quotes, invoices and billing rates are for owners and admins.

What if a staff member forgets to clock out?

From the next day the day is flagged for review and adds no hours until you put in the real finish time. After 24 hours the clock stops and the day also waits in Review times.

Do staff have to start and finish every job?

Only with By staff. With Automatically, jobs complete on their own and staff only mark the ones that didn't happen.

Can staff change their hours on the app?

No. They can clock in and out, but only owners and admins can correct times, in Timesheets.
