Get set up

Set up your business

Fill in your business profile so your name, logo and VAT details show in the app and on your quotes and invoices.

0:58 video

Your business profile holds the details Fieldfare shows in the app and prints on your quotes and invoices: your name, logo, contact details, address, company number and VAT. Fill it in once and every new quote and invoice uses it.

While you're getting started, a setup list in the menu shows what's left to do, with a help guide for each step.

The setup list

Owners and admins see Set up Fieldfare in the menu, with how many steps are done. Each step opens the page where it's done, and most tick themselves off once Fieldfare can see you've done them.

You can tick off any step by hand if it doesn't apply to you. A step that's really been done stays ticked.

  • Add your business details: ticks once you've added an address and a logo.
  • Add your staff: ticks once someone else has joined or been invited.
  • Add clients and sites: ticks once you have a client and a site.
  • Set up your regular work: ticks once you've added a recurring or one-off job.
  • Choose how jobs get completed: ticks once you've chosen a setting in App customisation.
  • Set your working year: ticks once you add a closure in Week management. Tick it yourself if the defaults suit you.
  • Get staff on the mobile app: ticks once anyone has clocked in or timed a job on the app.
  • Set up your financials: ticks once Xero, QuickBooks or Sage is connected. Tick it yourself to use Fieldfare's own quotes and invoices.
  • Match your accounting contacts to clients or Add your invoice details: the first shows when accounting software is connected, the second when it isn't.
  • Price your work and set staff costs: ticks once some work has a price and someone has an hourly cost.
  • Add health and safety documents: ticks once you've added a document or a risk assessment.

Where the list lives

The list leaves the menu once every step is done, when you choose Hide from menu, or once your business is two weeks old and using Fieldfare day to day.

It always stays in Settings › Setup for owners and admins. Tick Show in the menu while setting up there to bring it back.

Your business profile

Settings › Business profile holds your Business name, logo, Phone, Email, Website and address. Only the business name is required.

  • Business name: shows in the menu, on quotes and invoices, and in the emails Fieldfare sends your staff, such as their sign-in instructions.
  • Logo: shows at the top of the menu for everyone in your business, and on your quotes and invoices. Use a PNG, JPG or WebP file under 2MB.
  • Phone, Email and Website: printed on your quotes and invoices so customers can get in touch.
  • Address: printed on quotes and invoices, and used as your base on the client map.

Company number and VAT

Limited companies must show their registration number on quotes and invoices, so add it under Company number and Fieldfare prints it for you.

New businesses start as not VAT registered. If you are registered, tick Registered for VAT, add your VAT number and check the VAT rate (%), which starts at 20.

  • Quotes and invoices: VAT is added at your rate and your VAT number is printed. You can still choose 0% or Exempt on a single quote or invoice.
  • Prices and contracts: prices on the Pricing page and contract values are entered including VAT.
  • Not registered: quotes and invoices are raised with no VAT and no VAT number, whatever is set on them.

Who can change it

Owners and admins can edit the business profile by default. Staff and subcontractors can't see it. You can change this in Role permissions, under Business profile.

Questions

Why hasn't my business details step ticked off?

It needs both an address and a logo. Add whichever is missing and it ticks itself off.

I've registered for VAT since I started. What changes?

Tick Registered for VAT and add your number. New quotes and invoices add VAT from then on. Ones you've already made stay as they are.

Can I take the setup list out of the menu?

Yes. Open it and choose Hide from menu. It stays in Settings › Setup.

Where do I get help if I'm stuck?

Owners and admins can send a message to the Fieldfare team from Settings › Support, with screenshots if that helps. These help guides open from Help there too.
