When you start, you can bring your clients, their sites and your booked jobs in from a spreadsheet instead of typing them. Later, you can take almost anything back out as CSV or Excel, for payroll, accounts, your own analysis or a backup.
Importing clients and sites
Import clients is in the ⋯ menu on Clients. Download the template, fill it in and upload it as .xlsx, .xls or .csv. Each row is one client and one site. Repeat the client's name on more rows to give them more sites.
Only Client Name is needed. If Site Name is blank, the site is named from Address Line 1, then the client's name. Client Notes go on the client, and Parking, Access & Green Waste goes on the site's access notes.
Columns are read in the template's order, so keep them in place. Clients already in Fieldfare (matched by name) are skipped, so an import only adds new ones.
Importing jobs
Import jobs is in the ⋯ menu on Jobs. Each row makes one scheduled one-off job for a client and site already in Fieldfare, so import your clients first.
Dates can be 2026-03-14 or 14/03/2026, and times are on the quarter hour. Give an end time or a length in minutes. Several staff go in one cell, separated by commas. If any row has a problem, nothing is imported and the problems are listed.
Recurring jobs, staff and holidays can't be imported.
Where exports live
Exports in Settings gathers every export in one place for owners and admins. Several pages also have their own Export button that starts from what you're looking at. Most exports let you choose the dates and the format, and many let you choose the columns under Advanced. Files come as CSV or Excel.
What you can export
- Jobs: Visits (a row per visit with plan, staff, timer time and price) or Recurring jobs (each one's visits and averages).
- Schedule: each visit with time, client, site, address and staff, in Excel with a sheet per person.
- Timesheets: hours per entry as a standard CSV, Excel, or a Xero, QuickBooks or Sage ready file. Staff days sets each clocked day beside time on site.
- H&S assessments with their checks, and Spraying records.
- Clients and sites: every client or every site, including inactive clients.
- Invoices and Quotes with their status and totals.
Who can export what
Settings › Exports is for owners and admins, and each row only shows if your role can see that area. Prices only appear in job exports for people with Billing rates access.
Staff can export the schedule from the Schedule page, but only their own visits unless their role sees all jobs.
Single documents
Invoices and quotes download as PDFs from their own pages. A job's Visit report downloads as a PDF or Word file, with options for staff names, spray notes and photos. Photos download one at a time from the gallery.
Getting all your data out
There's no single download of everything. Exporting each area from Settings › Exports, with the widest dates it offers, gives you a copy of your clients, sites, jobs, timesheets, safety and spraying records, invoices and quotes.

Questions
Can I re-import a client export?
Not as it is. The export's columns differ from the import template, so copy the data into the template first.
What happens if I import the same clients twice?
Nothing changes for them. Clients whose name matches one already in Fieldfare are skipped, and the import tells you how many.
Which file do I give my accountant for payroll?
Use Timesheets with the Xero, QuickBooks or Sage ready format, or Standard CSV for anything else.
Can I export holidays, staff or to-dos?
Not at the moment. Holidays, the team list, vehicles, contracts and to-dos have no export.
